MINUTES OF THE MEETING
Of the Broadbottom Photographic Exhibition Committee held on Friday 4th September 2009 at The Harewood Arms, Broadbottom.

PRESENT: Joan Abrams (Chair), Rodney Bowden, Christine Bowden, Ian Boys, Paolo Ferreira, Beccy Lane.

2. Minutes of last meetings: These were held on 18th May and 15th June 2009 (this one on site at the Community Centre) and they were taken as read.

3. Matters arising: None which are not on current agenda.

Sonia Florent (group entry) Broadbottom School(group entry) Broadbottom Youth GroupIan reported that he had spoken to everyone except Jo Bell. School and Youth Club had also been asked (via Janet Gould). Any spare room could be used as an ‘Open Section’ and for the photography course.

5. Dates, Opening times:
a) Friday 23rd October (Opening event) 7.30 – 10 pm
All exhibitors expected to be ‘on site’.
b) Saturday 24th October 11 am – 3 pm
(Supervisory = Paulo & Beccy (11 – 1 pm)
Ian & Joan (1 – 3 pm)
c) Sunday 25th October 2 – 5 pm
(Supervisory = Rodney & Christine Bowden
Ian Boys & Beccy Lane (P-t)
During the main opening times on Saturday and Sunday, agreed (with approval of the BCA) to have kitchen open & one person ‘on duty’ for tea, coffee, orange juice & water. Prices to be agreed and for the Community Association.

6. Opening:
Invitations to Local Councillors and MP as a matter of course.
Julie Hesmondhalgh to be asked to officially ‘open’.
Press releases: Glossop Chronicle
Glossop Advertiser
Draft press releases by Joan and send out to group to check.
Beccy to invite David Dent to take a photo of as many photographers as could come to a pre-arranged time & date.
Refreshments: Asking Robert Lane to arrange for Cava and fruit juices for approx. 100 people. Some cava, some bucks fizz, some fruit juice in glasses hired from Morrisons (Joan).
At 6 portions per bottle, need approx 25 bottles. £150 allowed for refreshments.
Rodney said he would bring curtain lining to cover the large pool table in the middle of the room which would hold the glasses.
Music: The music (light classical) would be arranged by Rodney and Christine.
Decoration: Joan suggested a foliage decoration at some point in the room – possibly an arrangement from local autumn flowers.

7. Publicity:
T-shirts: Agreed black t-shirts (15 x £6 approx. £90) Beccy to ask Penny if she would do these at cost. Small logo and name of exhibition in top left hand corner in white.
Newsletter: Rodney had already written a 1-page article for the newsletter which would be out by end September.
Press release: Newspaper advertising covered by Opening Press release.
Posters: These to be put up in village nearer the time.
Flyers: Rodney to design flyer (£9) for a ‘drop’ by members of the committee the weekend before the event.
Radio: Joan to contact Rameside Radio, High Peak Radio, and Channel M – phone call telling them what and when should be sufficient.
Groups: Ian/Joan to inform Stalybridge Photographic Club.

8. Catalogue:
Agreed 200 copies 12 pages glossy paper, full colour with sample picture and biography (150 words/half-page). Front cover similar to Broadbottom Artists’ Exhibition. Name of exhibition to be: First Encounter: Broadbottom Photographers
Bio blurb to be written in 3rd person. Rodney to ask exhibitors for their bio.

9. Setting up:
Setting up: Friday 23rd October from 2 – 5 pm (Guides meeting to be cancelled by BCA) Rodney and anyone free to help between those times. Photographs to Ian beforehand if any of the exhibitors cannot mount their own.
Lighting: Beccy to bring extra lighting (red-head) for better lighting in the evening.
Boards: Using BCA black boards and standing on edge all tables.
Mounting: Double sided tape for those unmounted (Rodney to bring as well as ‘cow gum’ possibly from Hobbycraft) . Also staple gun.
Information cards: (by side of each exhibitor’s photographs) – these to be uniform 6 x 4 and exactly the same as that in the catalogue.
Layout: Agreed that for the 2 other days of the event (Sat and Sun) the large table be put at the far end of the hall. BCA table near door with History Book for sale.

10. Any other business:
If any visitor would like to buy a print of any of the photographs, then that would be arranged privately with the photographer and 20% to the BCA.

Ian Boys

Ian has been taking photography too seriously for 20 years. He started while working in some of the world's stranger places; his photographs of conditions in east European hospitals and orphanages were used by charities to raise awareness and funds and his photos of Somalia were sent to MP's to remind them of the situation there and those working to improve it. After dalliances with digital cameras and off-camera lighting he has recently returned to very simple manual cameras and black and white film. He teaches photography at Broadbottom Camera Club.
